Adding New Employee

Adding a new employee to the Ephanti application is a straightforward process that helps integrate the individual into the organization's digital ecosystem. This process begins by entering the employee's essential details, such as their name, job title, department, and contact information, into the system. Once the employee is added and the user role is assigned, the system automatically generates an account and sends an email invitation to the employee's registered email address. This email contains instructions for confirming their account and setting up a secure password. By efficiently adding new employees, organizations can ensure that each team member has timely access to the tools and information they need to perform their role effectively, promoting smooth onboarding and immediate productivity.

How To Add Employee

To add an employee to the application,

  1. Hover over the "Customers icon in the sidebar and select Employees".

  2. Click on the "+New" button. A window appears in the middle of the screen with the following,

    • Personal Details

      • First Name: Enter the First Name of the employee. This is a mandatory field

      • Middle Name: Enter the Middle Name of the employee.

      • Last Name: Enter the Last Name of the employee.

      • Gender: Select Male, Female or Non-Binary from the list provided in the drop-down.

    • Preferences And Status

      • Channel Types: Select the preferred channel type WhatsApp, Facebook, Email, or Webchat from the list provided in the drop-down. Upon selecting the channel, the employee will receive information or send messages from that particular channel. For example: If the channel is Email, then the employee can receive information or send messages only from Email.

      • Preferred Language: Select the preferred language from the list provided in the drop-down. Preferred language helps in identifying the language in which the employee would like to communicate with the organization.

      • Status: Set the status of the employee, if it is 'Active' or 'Inactive'. By default the status is always "Active". This means the employee is currently in use and fully operational. If the employee fails to be in use, then switch the status to "Inactive".

      • Priority: Set the priority of the employee, if it is 'Low', 'Medium' or 'High'.

    • Employee Details

      • Employee Type: There are different types of employees in an organization, such as, "Employee", "Contractor", "Volunteer", "Internal Candidate", "External Candidate". Select any one of them accordingly. The type of employee can be modified or also added in the "PartyType" section in Configuration.

      • Job Title: Enter the job title of the employee.

      • Organization ID: By default, the modal will display the default organization name set for that tenant which you are logged in. You can change the organization from the drop-down provided.

      • Owner: Enter the owner(manager) of the employee from the list provided in the drop-down. The list contains all the employee names.

      • User:The employee's mail id will be unique to it's organization. Select the user mail id of the employee which was created in the users section, and the role associated with that user will be assigned to this employee.

    • Contact Details

      • Phone Number: Enter a valid phone number here. If you enter invalid phone number then the window will throw an error.

      • Email Address: Enter a valid email address here. If you enter invalid email-id then the window will throw an error.

    • Address Details

      • Address Line 1: Enter the address details of the employee.

      • City: Enter the name of the City.

      • Zip Code: Add the zipcode here.

      • State: Select the state after selecting country from the list. Then all the states belonging to that country will be available in the list. Choose the required state.

      • Country: Select the country from the list provided in the drop-down.

      • Tags: Tags are nothing but a way to notify that the contact belongs to particular group in an organization. You can add tags from the list provided in the drop-down.
