Notes And Attachments For Contacts

The Notes and Attachments feature allows users to enrich contact records with additional context and relevant documents, enhancing the quality and usefulness of contact information. Notes provide a space to record important details, such as follow-up tasks, and personal preferences, helping team members keep track of key insights and maintain a clear history of interactions. By consistently adding notes, users ensure that the entire team is aligned and informed, enabling seamless communication and more personalized engagement with each contact.

Attachments, on the other hand, allow users to associate various files with a contact, such as contracts, proposals, presentations, or images. These attachments are stored directly within the contact’s record, making it easy to access important documents without leaving the application. This centralized storage ensures that all relevant materials are organized and readily available whenever needed, reducing the time spent searching for files and improving overall efficiency. Together, notes and attachments provide a comprehensive view of each contact, supporting better decision-making and more effective data management.

On the Contact Details page, notes can be added directly to the contact's profile, offering a quick and convenient way to record essential details, reminders, or observations that are immediately visible to anyone viewing the contact. This ensures that critical information is always at hand, supporting better communication and more personalized interactions with the contact.

In addition to the notes on the Details page, there is also a dedicated Notes tab where users can manage all notes associated with the contact in a more organized and detailed manner. This tab allows for the creation of notes, making it easy to track ongoing conversations, follow-up tasks, or any other relevant details over time. By providing both a summary view and a comprehensive notes section, we at Ephanti, ensure that users have the flexibility to access and manage contact notes in the way that best suits their workflow, ultimately enhancing the effectiveness of contact management.

How To Add Notes And Attachments In Contacts

To add a note,

  1. Hover over the "Customers icon in the sidebar and select Contacts".

  2. Click on the "ID" for which you want to add notes and attach file.

  3. You will be directed to the Contact Details page. On the right side, is the Notes section.

  4. Click on "Add Notes" button. A window appears.

  5. Enter the "Title" and "Description" of the note and click "OK".

The note is created successfully and can be viewed in its section.

To attach a file to the note,

  1. Click on the "Attach" icon in the window, below the description box.

  2. Select the file that you want to attach to the note.

    • Document: The supported file types are .docx, .pdf and .csv format.

    • Image: The supported file types are .jpg and .png format. Maximum file size limit 50 MB.

    • Audio: The supported file type is .mp3 format. Maximum file size limit 50 MB.

  3. After the file is attached to the note, click "OK".

The note is created successfully with an attachment linked to it.
